TERMS & CONDITIONS

Festival Registration applications must be received in the Smoky Mountain Festival Office no later than February 15, 2009.

Festival Program Deposit
By February 15, 2009, a $50.00 per person deposit is required to reserve motel accommodations and other festival arrangements. This deposit is refundable up to 30 days prior to the reserved festival weekend as described in the Cancellation and Refunds provision. Motel accommodations will be assigned to your group upon receipt of the Festival Registration Deposit. A complete rooming list must be received 45 days prior to the reserved festival weekend in order to guarantee room reservations.


Final Payment
Final balance of payment is due in the festival office no later than 30 days prior to the reserved festival weekend.


Cancellations and Refunds
A full refund (except $50.00 per category entry fees) will be made if cancellation is received 30 days before the festival date. After 29 days and up to the festival date, no monies will be refunded. This policy will apply to individuals as well as groups. All cancellations must be made in writing and sent by certified mail.


Quality Control
In order to maintain the highest possible level of consistency, all participants and chaperones must purchase one of the established festival package plans to be eligible to participate in all aspects of the festival.


Documents
Motels will be assigned to each band, orchestra and choir by the Festival upon receiving the per person deposit. Performance schedules and other information will be sent to festival groups no later than March 31, 2009.


Insurance
A special bodily injury and property damage policy for $2,000,000 has been obtained by the Smoky Mountain Music Festival for all participants and chaperones while at festival sites. It is also wise for each group to obtain a separate policy if the school does not provide coverage.

Application and entry fee(s) are to be sent to the Smoky Mountain Music Festival Office NO LATER than February 15, 2009.
2.
$50 deposit per person is due NO LATER than FEBRUARY 15, 2009 PLEASE NOTE that it is important to understand that housing reservations will not be confirmed with the motel until the full amount of the per person deposit has been received.

The festival office will block out motel space for a group any time prior to the February 15 deadline, but after that date, unless the per person deposits have been received, the space will no longer be held.

For deposits received after the deadline, motel assignments will be made based on availability.
3.
Final payment is to be received in the festival office 30 days prior to scheduled weekend. The room list is due 45 days prior to scheduled weekend so the final invoice can be issued in time for the 30 day final payment schedule

It is not liable for any injury, personal injury, damage, loss, accident, delay or irregularity which may happen by default of any hotel, motel, restaurant, company or person rendering any of the services included or by natural forces. No responsibility is accepted for any damage or delay due to illness, pilferage, labor dispute, machinery breakdown, quarantine, governmental restraints, weather or other causes beyond their personal control. In the event it becomes necessary to cancel or alter any aspect of the festival, such alterations may be made.
